Standard Services Accounting

  1. Issue invoices for levy contributions, (levy invoices are produced by the accounts department on or about the 15th day of the month preceding the period in which the levy is due), collect all monies receivable from Owners and arrange for collection of those accounts in arrears, through a debtors resolution programme.
  2. Process and pay creditors accounts as directed by the Council of Owners.
  3. Arrange minor Common Property Maintenance, any major maintenance required will be in consultation with Council of Owners. Maintain a proper set of books of accounts (trust account) and supervise the transfer of surplus funds to an interest bearing account (ANZ Banking Corporation).
  4. All externally held accounts (i.e. Reserve Fund or Special Levy Fund) are detailed on the Monthly Statement as monies held externally and the balance shown.
  5. Send to a nominated Council member a monthly statement of income and expenditure to enable the Council to monitor running costs, which includes a levy status report on outstanding debtors, and unpaid creditors. Total year to date expenditure compared to budget is not provided.Cost to provide this statement to the nominated member will incur an additional charge each month*.
  6. Prepare an itemised annual statement of income and expenditure, and proposed budget, with previous budget and actual figures and mail to all Owners at least 14 days prior to the Annual General Meeting. A Profit/Loss statement is not provided.
  7. Arrange for completion and submission of quarterly Instalment Activity Statements (IAS) by registered tax agent/accountant for those companies NOT registered for GST to the Australian Taxation Department*, or
  8. Arrange for completion and submission of quarterly Business Activity Statements (BAS) by registered tax agent/accountant for those companies registered for GST to the Australian Taxation Department*.
  9. Arrange for completion by registered tax agent/accountant an annual company tax return if applicable*.
  10. Arrange for auditing of full trust account, cost of this audit is distributed amongst all strata schemes*.
  11. Strata Companies with gas, water and/or electricity meters in situ incur an administration charge per unit per account*.
  12. Maintain necessary taxation records for employment of Caretakers if applicable.
